Who this notice covers
This notice applies to personal information Farlands Auto receives through this website, vehicle-sourcing inquiries, direct correspondence and employment applications. Farlands Auto is responsible for personal information under its control and has designated a Privacy Officer to answer questions and handle requests.
Information we collect
For a vehicle request, we collect the name, email address, optional phone number, province or territory, purchase timeline, vehicle preferences and notes you choose to provide. For an employment application, we collect the information in your email, résumé, cover letter and related correspondence. Our systems may also process limited technical information, such as request time, browser-supplied data and security logs, to deliver and protect the service.
Why we use it
We use customer information to respond to an inquiry, research suitable vehicles, provide sourcing and pricing information, communicate about the requested service, prevent abuse and maintain an inquiry record. We use applicant information only to evaluate and communicate about current or reasonably anticipated opportunities, check references with permission and meet legal obligations. We will obtain further consent before using personal information for a materially different purpose unless permitted by law.
Consent and your choices
Submitting a request or application signifies consent to the uses described at the point of collection and in this notice. You may withdraw consent for future use, subject to legal or contractual limits and reasonable notice. Withdrawal may mean we cannot continue a vehicle search or consider an application. We do not sell personal information or use customer inquiry information for unrelated marketing without consent.
Service providers and disclosures
Access is limited to Farlands Auto personnel and service providers who need the information for the purposes above. Providers may supply website hosting, email, cloud productivity, security or professional services. Information may be processed in Canada or the United States and may be available to courts, law enforcement or national-security authorities under the laws of that jurisdiction. We may also disclose information when required by law, with consent or as part of a business transaction permitted by law.
Retention
Vehicle inquiries that do not become an active customer relationship are normally deleted or anonymized within 24 months after the last meaningful contact. Unsuccessful employment applications are normally deleted within 12 months after the last recruitment activity. We may retain records longer where reasonably needed for an active relationship, a legal requirement, a dispute or a documented business purpose. When no longer required, records are securely deleted or anonymized across the systems under our control.
Safeguards and incidents
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including restricted access, protected accounts, encrypted transport, backups and documented retention and incident-response procedures. No internet or storage system is completely secure. We investigate suspected privacy incidents and provide notices required by applicable law.
Access and correction
You may request access to personal information under our control, ask how it has been used or disclosed, or request a correction. We will verify identity before responding and may need up to 30 days or another period permitted by law. If access is refused, we will explain the reason and available recourse, subject to legal restrictions. You may also request deletion or withdrawal of consent where applicable.
Privacy Officer and complaints
Email the Farlands Auto Privacy Officer at sales@farlandsauto.com with the subject “Privacy request.” Include enough detail to locate the relevant record, but do not email government identification unless requested through a secure method. We will investigate complaints and explain our response. You may also contact the Office of the Information and Privacy Commissioner of Alberta if a concern is not resolved.
Updates
We may update this notice as our services or practices change. The effective date above identifies the current version. Material changes will be highlighted on this page before or when they take effect.
